At ITS America 2021 Annual Meeting and all Reed Exhibitions events, your health and safety is our top priority. As part of this commitment, we’ve taken proactive steps and implemented new guidelines and policies to help support a safe experience. Everyone in attendance, including customers, vendors and staff, are expected to comply our health and safety requirements, including:

***NEW VACCINATION REQUIREMENT***

For the ITS America 2021 Annual Meeting, all show participants will be required to provide proof of full vaccination with COVID-19 vaccine approved by the FDA or authorized for emergency use by the FDA or WHO. This requirement will apply to attendees, exhibitors, media, speakers, and ITS America and RX staff. “Full vaccination” means that the date of entry to ITS America 2021 Annual Meeting is at least 14 days after receiving the final dose of an FDA approved or FDA or WHO authorized COVID-19 vaccine.

Face Coverings

Currently the city of Charlotte and Mecklenburg County have put into effect a face covering mandate. At this time, everyone at ITS America Annual Meeting is expected to comply with our Health and Safety Requirements and local laws, including wearing an approved face covering at all times when indoors at the Charlotte Convention Center.

Management may remove, ban, or revoke the badge without refund of anyone who fails to comply or impacts the safety or security of the event, each in Management’s sole and absolute discretion.

Increased Sanitization and Hygiene

The ITS America 2021 Annual Meeting has worked closely with the Charlotte Convention Center to implement cleaning and sanitization standards that meet or exceed the recommendations of the CDC. It is the responsibility of everyone to maintain personal hygiene, including washing your hands frequently. 

Directional and Distance Markers

We have adjusted our layout and implemented exhibitor guidelines with capacity management and physical distancing in mind. Please follow all floor, directional, and distance markings and signage.

Follow all Signage and Direction from Staff

Operational adjustments may occur throughout the event. Please adhere to all signage and direction from all staff, including our Safety Ambassadors.

The ITS America Events Health & Safety Acknowledgement

Please make sure that you have reviewed any advisories or restrictions that may be in place for travel to the United States and for travel to North Carolina. Visit https://www.nc.gov/covid19  for information.

Please be advised that a risk of exposure to COVID-19 exists in any event or public space, including the Event. Prior to registering for and attending the Event, please ensure you have read the latest CDC Guidelines for PreventionBy attending the ITS America 2021 Annual Meeting, you acknowledge this inherent risk and, as a condition of entering the ITS America Annual Meeting, you acknowledge, understand and confirm each of the following in accordance with applicable health guidelines:

  • that you will abide by all the ITS America 2021 Annual Meeting, health-and-safety requirements;
  • that you are not currently experiencing any of the following symptoms of COVID-19, as identified at CDC.gov, including, but not limited to:
    • o    Fever or chills
    • o    Cough
    • o    Shortness of breath or difficulty breathing
    • o    Fatigue
    • o    Muscle or body aches
    • o    Headache
    • o    New loss of taste or smell
    • o    Sore throat
    • o    Congestion or runny nose
    • o    Nausea or vomiting
    • o    Diarrhea
  • that prior to attending the ITS America Annual Meeting you have not been in contact with someone with confirmed or suspected COVID-19 symptoms without completing a 14-day quarantine;
  • that you are not under any self-quarantine orders;
  • that you are Fully Vaccinated;
    • Note: Fully Vaccinated means the date of your entry to the ITS America 2021 Annual Meeting is at least 14 days after your final dose of a COVID-19 vaccine which has been approved by the FDA or which has been authorized for emergency use by the FDA or WHO.

Management reserves the right to implement updated admission requirements for the Event in its sole discretion.

NOTE: Providing proof of a negative COVID-19 test is NOT SUFFICIENT to comply with this health & safety acknowledgement.

Please do not enter the ITS America Annual Meeting or the Charlotte Convention Center if you cannot confirm all of the above criteria. If at any point during your time at the Event you do not meet all of the above criteria, you and those in your group (which may include your exhibiting company) will be required to isolate and may be relocated or asked to leave the Charlotte Convention Center at the discretion of ITS America Events Team.

Please note: The guidelines in this document are based on information currently available regarding the behavior and characteristics of the COVID-19 virus, public health information and local or state guidelines with respect to large gatherings in any particular community. As more clarity with respect to these variables emerges, it is expected that these guidelines may need to be adjusted accordingly

Yes, all event participants will be required to show digital or physical proof that they are Fully Vaccinated against COVID-19, along with a matching government-issued ID such as a driver’s license or passport. “Fully Vaccinated” means that the date of your entry to the ITS America 2021 Annual Meeting is at least 14 days after your final dose of an FDA approved or FDA or WHO authorized COVID-19 vaccine.

There are two easy steps to take to gain entry into ITS America 2021 Annual Meeting. The two steps are:

Step 1: Complete one of the complimentary options to verify vaccination status to receive a vaccination verified wristband at an ITS America Vaccination Verification Desk:

Option 1:  CLEAR Health Pass Validation 
This option is only available for fully vaccinated registrants that received the COVID-19 vaccine in the United States. “Fully vaccinated” means that the date of entry to ITS America 2021 Annual Meeting is at least 14 days after receiving the final dose of an FDA approved or FDA or WHO authorized COVID-19 vaccine. All other registrants must use Option 2.

OR

Option 2: On-site Manual Validation
This option is available for those individuals vaccinated outside of the United States and fully vaccinated registrants that have elected not to use CLEAR.

Step 2: Wear your vaccination verified wristband and show government-issued ID to a registration area for badge pickup.

The ITS America Vaccination Verification Desk, located next to Registration in the level 2 lobby, will be open beginning Tuesday, December 7 at 7:30 AM ET.

We will consider requests to convert an in-person attendee registration to a virtual pass where there are extenuating circumstances. The conversion decision will be made by Show Management in its sole discretion.

Yes, based on CDC guidelines and local and venue requirements, everyone at the ITS America 2021 Annual Meeting is required to wear an approved face covering, regardless of vaccination status.

If you have reason to believe you currently have COVID-19 or have been exposed to COVID-19, you should not attend the event and should immediately consult your physician, including if these conditions emerge while you are in Charlotte. Please review our Health & Safety Acknowledgement each day prior to attending the ITS America Annual Meeting to ensure you can comply with all of the requirements therein. 

As we look forward to gathering as an industry, our highest priority for the ITS Annual Meeting 2021 is providing a safe and productive event. Our health and safety requirements, including the requirement of full vaccination, align with government and public health guidance and reflect our extensive consultation with internal and external health and safety experts and feedback received from exhibitors and participating companies. At a time when many prospective and participating companies and government entities have strict travel policies and vaccination requirements, it is all the more important to host an event where everyone feels as safe as possible. Requiring vaccination further aligns our event with federal and state guidance regarding COVID-19 mitigation and is the right choice to make ITS Annual Meeting 2021 the most robust, productive and interactive conference possible.  

No. To accommodate those unable to meet admission requirements, the ITS America 2021 Annual Meeting includes a robust virtual experience, which brings the event to the intelligent transportation community wherever they are.  

To accommodate those unable to meet admission requirements, the ITS America 2021 Annual Meeting includes a robust virtual experience, which brings the event to the intelligent transportation community wherever they are.  Any exemption questions or requests must be submitted to Inquiry.ITSAmerica@reedexpo.com along with all supporting documentation on or before December 5, 2021. The decision, and any related requirements, including, but not limited to, daily COVID-19 testing, will be made by Show Management in its sole discretion. We are unable to review or accommodate requests submitted after December 5, 2021 or on-site at the event under any circumstances.

If at any point, your vaccination verified wristband becomes damaged, lost, or is removed, you are required to return to the verification center to obtain a new wristband. 

The CLEAR Health Pass (Option 1) is only available for fully vaccinated registrants that received the COVID-19 vaccine in the United States. “Fully vaccinated” means that the date of entry to ITS Annual Meeting is at least 14 days after the individual’s receipt of the final dose of an FDA approved or authorized vaccine. All other registrants must use On-site Manual Validation. 

There will also be an option for on-site manual validation. This option is available for those individuals vaccinated outside of the United States, and fully vaccinated registrants that have elected not to use CLEAR.

CLEAR is a third party provider – each individual utilizing CLEAR has a direct relationship with CLEAR and any use of CLEAR is subject to the CLEAR terms of use.  CLEAR will not share your data about your vaccination with ITSA, RX, or any vendors or service provider associated with the event.
